I don’t actually mind but I’d like to draw your attention to the fact that I’m not a lawyer and I might live in a different country to you, so you’re using this information at your own risk. Overview
My business is a registered corporation 1434029 B.C. LTD. (doing business as SQSP Queen) and as such is accountable for compliance with PIPA. This is British Columbia’s Personal Information Protection Act which sets out rules for how organizations collect, use and disclose personal information.
I’ve tried to make this policy as clear as possible, but there are some sections that require more technical or legal language. If you need any further explanation, please contact me using the details below.

Personal information collected
Most of the personal information I collect is provided to me directly by you, when you contact me by email or sign up to my newsletter. I don’t ask for more information than is necessary.
When we work together on a project, I am likely to collect the following information in order to carry out the agreed-upon service:
Email address
Phone number
Your name
Your business name
Login details for relevant services such as domain registrars
My newsletter is powered by email marketing software which complies with GDPR and data processing regulations. If you provide your email address and subscribe, you can opt out of any future mailings by clicking the unsubscribe link on the newsletter.
I also receive personal information indirectly, from the following sources in the following scenarios:

Why I collect this information
I use the information that you have provided in order to:

My email marketing and website analytics may be shared with third parties who are providing me with marketing or business support. I will never sell your data or provide it to any other businesses for the purpose of marketing their products or services to you.
Consent and your personal information
I will obtain your consent to collect, use or disclose any personal information.
Consent can be provided orally, in writing or electronically.
Consent can also be implied where the purpose for collecting using (or disclosing) the personal information would be considered obvious and you voluntarily provide personal information for that purpose.
Consent may be implied where you are given notice and a reasonable opportunity to opt out of your personal information being used for the marketing of services or products and you do not opt out.
Other than in certain cases (e.g. the personal information is necessary to provide the service or product, or the withdrawal of consent would prevent me from meeting a legal obligation) you can withhold or withdraw your consent for me to use your personal information in certain ways.
Your decision to withhold or withdraw your consent to certain uses of personal information may restrict my ability to provide a particular service or product. If so, we I explain the situation to assist you in making the decision.
I may collect, use or disclose personal information without your knowledge or consent in the following limited circumstances where the collection, use or disclosure:
is clearly in the interests of the individual and consent cannot be obtained in a timely way
is required or authorized by law
is necessary to facilitate the collection of a debt owed to me, or the payment of a debt owed by me
involves personal information that is available from a public source (such as your website, social media or a business directory)
How I store your personal information
Your information is stored in the following locations, and I have also provided information on how it is removed if you request for it to be deleted.
Squarespace
Analytics and cookies information are stored within Squarespace. It is not possible to delete individual analytics records. I am also unable to remove cookies from your computer; information on managing cookies can be found on the All About Cookies website.
Email Marketing
Email addresses and information about how you have interacted with my newsletters (for example open rates, clicking links) is stored within the email marketing software. If you unsubscribe you will no longer receive communications from me via that channel but I will be able to see your historical activity. If you wish to be removed entirely from my email marketing software, please get in touch and I will delete your historical activity and contact email.
Email and Calendar
I use a business email and calendar service. I have a list of contacts and your email address will be stored here along with potentially your name, company and phone number. Within my email I will also store any correspondence we have in the course of a project or enquiry. Calendar entries may include location information such as your address along with your name and contact details for the call or meeting.
If you wish for me to delete your information, please get in touch and I will remove you as a contact. Where appropriate, I will also delete email messages between us, although I may need to keep some messages for my own records. If this is the case, I will let you know which emails this relates to and why I am keeping them.
Phone Messages
Some clients enjoy the convenience of sending information via secure internet messaging or text so some personal information may be stored here. If you wish to be removed as a contact or have some/all of our messages deleted, please get in touch.
Project Management
I use a project management tool which I use to keep track of tasks and store project information for reference. Each client or project has a card with general reference information and I also use cards for individual project tasks; these are identified with labels relating to the project. If you wish to have your information deleted, please let me know and I will remove all cards and labels relating to you.
File storage
I use a secure file storage system for files relating to client projects. Some folders are shared with me by clients and in this case, owners of the folder can revoke my access at any time. If the files or folders are not shared with you, I can delete them from the cloud and my local devices on request.
Passwords
For all of these services I use a strong password which is managed by a secure password manager. I only store passwords you have shared with me if I will need them on an ongoing basis. If you wish for me to remove your passwords from my password manager, please contact me and I will delete all records.
I also use two-factor authentication to prevent unrecognised devices from logging in, and use security measures on my phone and laptop to prevent access to data stored on my devices.
In the event of a data breach that affects your personal information, I will contact you and tell you what has happened. I will provide an overview of the data that has been accessed, how it was accessed, and who accessed it. I’ll also explain what I’m doing to prevent a similar breach from happening in the future.
As my work with clients is often ongoing, by default I keep your information indefinitely unless otherwise requested. If you do request your data to be deleted, I will remove your data as described above.
Your data, your rights
You have the right to access:
your personal information
information about the ways in which your personal information is or has been used
the names of the individuals and organizations to which your personal information has been disclosed
You can also ask me to correct any errors in your personal information (as a Katy whose name is so often spelled Katie, I know how annoying it can be).
You don’t have to pay any charge for exercising your rights. If you make a request, I have 30 days to respond to you. If I refuse the request for any reason, I will tell you why and provide you with an overview of the next steps you can take.
